FREQUENTLY ASKED QUESTIONS

Here's a few answers to our most common questions.

What kind of supervision will be at Winter Retreat?

Middle School students will be attending the retreat with their small group, which is always supervised by their small group leader. There will also be many staff members present for the weekend who will help supervise, in addition to the Host Home parents.

Where do I drop off and pick up my son or daughter?

Students will be dropped off on Friday night at their Host Homes and driven by Background Checked adults (typically the small group leaders & a parent from the Host Home) to the Nicholasville Campus for first session. You will be able to pick up your student from their assigned Host Home early on Sunday afternoon from their assigned Host Home after the first session is complete and students return to their Host Homes.

What are the adult to student ratios?

Our goal is to have a 1:6 ratio of adult to student. Some of this changes for each small group, as it is dependent on how many students sign up for the retreat from that group and if they group has multiple leaders or just one. Some small groups will have a slightly higher ratio (Example: 1:8) while some might have a slightly lower ratio (Example: 1:5), but our goal is to at least have a 1:6 ratio for overall adults to overall students.

What do students need to bring?

  • Sleeping Bag // Air Mattress (**Some host homes will have extra beds available, but this is not guaranteed. Please contact your Host Home Parents for more info.)
  • Pillow
  • Towel
  • Toiletries (shampoo, soap, toothbrush, toothpaste, etc)
  • Bible
  • Journal
  • Clothes/Costumes for your holiday team! (Wear on Saturday for Holiday Wars!)
  • Warm clothes (coat, gloves, hat, etc.)
  • Tote Bag/drawstring backpack

Is there financial assistance?

We do offer some partial scholarships, and these are decided based on an application and review process. If you are interested in applying for a scholarship, please contact your Campus Student Pastor and they will provide you more information. Please note that if you for a scholarship close to the date of the event, there is a smaller chance of receiving assistance. Please apply as soon as possible.

When will we know my child’s holiday and host home?

Our goal is to have this information to you 10 days the start of the event, which is Tuesday, January 15th. You’ll receive an e-mail from your campus student pastor with specific host home info, small group leader contact info, Holiday Wars team, and more. We try to give as many students an opportunity to sign up for Winter Retreat as we can before we send out all of that info.

What if my student has a conflicting event during Winter Retreat?

We know and understand that students are busy and we want to make sure that every student can participate in Winter Retreat. With this being said, we strongly discourage students coming and going for Middle School Winter Retreat. If a student needs to miss a section of Winter Retreat for a previously scheduled event, please contact your Campus Student Pastor and let them know as soon as you know the details.
