Fun & Games
REGISTRATION STEP 1:
All students need to fill out a new waiver for each big Southland Student event. We will need all of the following waivers completed before
the students can attend Winter Retreat:
REGISTRATION STEP 2:
There is a specific required form that you will need to fill out if you have any severe food allergies. This form will go directly to the Middle School Winter Retreat Food Team. The link is included with the waivers, but you can also fill it out here ( Southland’s Middle School Winter Retreat Allergy Form) if you have not yet done so.
We do not offer refunds for this event. Once you have registered, we secure the student’s place at Winter Retreat. From there, we make appropriate arrangements and purchases for them to be there, so we are unable to provide refunds.
Students will not be staying in Host Homes this year, and will need to be dropped off and picked up from building B (Theater 81) at the Nicholasville campus. If you are attending with the Danville, Georgetown, or Richmond campus, please see your campus student pastor for details.
ADULT VOLUNTEERS/SMALL GROUP LEADERS
If you are an adult volunteer or a small group leader, and you are planning on attending Middle School Winter Retreat, you will need to register to do so using a separate registration link specific to adult volunteers/small group leaders. Please contact your campus student pastor for details on how to get registered as a leader.
If you have questions, and cannot find the answer on our Frequently Asked Questions below, please feel free to
contact Sarah Cleaver at firstname.lastname@example.org.
What kind of supervision will be at Middle School Winter Retreat?
Middle School students will attend the Middle School Winter Retreat event with their small group, which is always supervised by their Small Group Leader. If your student’s Small Group Leader is not attending Middle School Winter Retreat, they will be given a trained and background checked adult as their leader for the weekend. There will also be additional adult volunteers and Southland Staff Members present for the full duration of the event who will be there to help supervise.
Where do I drop off my student?
Middle School Winter Retreat will take place at the Nicholasville Campus. On Friday, you can drop off your student at the Nicholasville campus (Theater 81 entrance) on Friday evening, and can pick them back up in the evening after the end of the evening session/small groups. On Saturday, you can drop them off at the Nicholasville campus (Theater 81 entrance) in the morning, and pick them back up in the evening after the evening session/small groups. More specific details on drop off/pick up times will be sent out closer to the event by your campus student staff.
What are student to leader ratios?
Our goal is to have a student to leader ratio of 6:1 (six students to every 1 leader). We not only have at least one adult leader assigned to each student small group, but we also bring along extra Southland Staff Members and additional adult volunteer leaders to help supervise.
What does my student need to bring?
What if my student needs to arrive late or leave early from Middle School Winter Retreat?
We know and understand that students are busy and we want to make sure that every student can participate in Middle School Winter Retreat. With this being said, we strongly discourage students from arriving late or leaving early from the event. If a student needs to miss a section of Middle School Winter Retreat for a previously scheduled event, please contact your campus student pastor to discuss options.
Is there financial assistance?
If there is financial hardship within your family, and financial assistance is needed, there may be some assistance available. Please contact your campus student pastor for next steps.
How do I make payments?
The full event cost is due at the time of registration and is nonrefundable. If you are interested in financial assistance, please refer to FAQ number six.
What will my student do if they have severe food allergies?
If you student has severe food allergies, please fill out Southland’s Middle School Winter Retreat Allergy Form. Closer to the date of the event, if your student’s allergies conflict with the food options that we are providing, you will be contacted via email by one of our Southland Student staff regarding alternate food options.
Will there be Host Homes this year?
There will not be Host Homes for this year’s Middle School Winter Retreat. Please drop off and pick up your student at the Nicholasville campus (Theater 81 entrance) on each day of the event. If you are attending with the Danville, Georgetown, or Richmond campus, please see your campus student pastor for more details.
I attend either the Danville, Georgetown, or Richmond campus. How do I travel to and from the event?
We definitely want any student who is interested in attending the Middle School Winter Retreat to be able to attend, and to not be hindered by the distance from their campus to the event. Please see your campus student pastor for more information on travel options for your campus.
Does my student need to bring and wear a mask?
We ask that students bring and wear a mask for the duration of the event.
